What to Do If Your Travel Documents Are Missing

Boarding pass, visa, vaccination record or booking confirmation gone missing? Most of it can be recovered quickly.

Not every document emergency involves a passport. More often it is a boarding pass that will not load, a visa approval left in an old email account, or a hotel confirmation you need at the border.

Almost all of it is recoverable, provided you know where the original came from.

Which document is actually missing

Identity documents, passport and national ID, need official replacement. Travel documents, boarding passes and bookings, can be reissued by the provider. Supporting documents, insurance certificates and vaccination records, are usually stored digitally somewhere.

Sort the missing item into one of those three groups, and the right action becomes obvious.

Step by step

Step 1: Search the source, not your inbox

Log into the airline, agency or hotel account directly. Confirmations are stored there even when the email is gone. For visas issued electronically, the issuing portal usually allows a re download using your passport number and reference.

Step 2: Get a boarding pass reissued

Any check in desk or self service kiosk can print a new one with your booking reference and passport. This costs nothing at the airport in most cases, although a few low cost carriers charge for airport check in, so try the app first.

Step 3: Reconstruct what cannot be re downloaded

Ask your insurer to resend the certificate, ask your hotel for a booking letter by email, and request a copy of any invitation or sponsorship letter from whoever issued it. A clear photo on your phone is accepted more often than people expect.

Step 4: Prepare a backup set for the rest of the trip

Create a folder in cloud storage with your passport page, visas, tickets, insurance and hotel confirmations, then download an offline copy to your phone. Print one paper set and keep it separate from the originals.
